Caring for the ashes
entrusted to you
When a family entrusts you with their loved one’s ashes or hair, they are placing something irreplaceable in your care. We understand that recommending a memorial jewellery partner carries that same responsibility.
This page explains how we look after each order at EverWith, so you can guide families with confidence and answer their questions about what happens next.
Professional care,
shared responsibility
Our experienced jewellers create each piece in a dedicated workshop, with audited processes and a photographic record at every stage.
We work with funeral homes and other trade partners across the UK. Behind every order is a family you are supporting, and we understand how much your recommendation means to them.
From the arrival of the ashes or hair to the finished jewellery, our team treats each order with the care and attention that you and the family expect.
Preparing and sending a family’s order
Place the order through your trade portal before sending any ashes, hair or fur. Following the trade ordering instructions, place one teaspoon of ashes or a lock of hair or fur per jewellery piece into an EverWith resealable bag.
Label the bag with the deceased’s name and the EW-XXXXX-TRADE order reference. Include a printed, signed Order Confirmation Form and send it with the bag in the prepaid padded envelope. If you need help preparing an order, please speak to our trade team before sending it.
Confirming safe receipt to your team
Once your order has been physically processed, our trade team will email you to confirm receipt. You can then pass that reassurance on to the family.
The photographic record begins with the contents of the parcel, including the order paperwork and the ashes or hair received. The order then enters our production queue in line with current lead times.
Keeping each family’s ashes identified
The ashes remain in their sealed, labelled bag with the completed paperwork until it is time to use them in the jewellery.
Clear labelling and the trade order reference help connect the contents to the correct order. Photographs provide a record as the order moves through our workshop.
If a family has questions about identification or handling, our trade team can help you explain the process before anything is sent to us.
A photographic record at every step
All of our processes are audited, and we take photographs at every step of each order.
The record begins when we receive the parcel, capturing the paperwork and the ashes or hair supplied. It continues as the jewellery is made, through to the finished pieces and accompanying documents.
These photographs provide a record of the order throughout its time with us. Personal information captured in the photographs is handled in accordance with our privacy policy and UK data protection law.
This care underpins the trust you place in EverWith and the reassurance you can offer the families you support.
One order at a time
Only one jewellery order is made at a time by our jewellers in the workshop.
Each order receives individual care and attention. We follow a full procedure for cleaning and sterilising workbenches between orders.
Whether a family chooses one keepsake or several pieces, we understand the personal meaning of every item you have entrusted us to make.
Creating each family’s memorial jewellery
For our resin memorial jewellery, we carefully incorporate a small amount of the loved one’s ashes, hair or fur into the resin within the chosen design.
If a family asks about a change to their finished jewellery, please contact our specialist team with the order reference. We can advise you on the options and what may be possible.
Returning unused ashes with the jewellery
Any unused ashes are returned in their sealed bag alongside the finished jewellery, for you to return to the family.
Please explain this to the family when you discuss their order. Knowing that the remaining ashes will be returned can be an important source of reassurance.
The completed jewellery and accompanying paperwork are also photographed as part of the order record.
Keeping your team informed
We email you when the order has been physically processed and again once the jewellery has passed our quality checks. Courier tracking information follows dispatch.
When the order arrives, check it before arranging collection or handover with the family. Please use the tracking information for delivery updates.
If you need an update or help answering a family’s question, contact our trade team with the order reference. We are here to support you throughout the process.
Including more than one loved one
A family may wish to include ashes from more than one loved one in their jewellery. You can help them explain how they would like their piece made.
Record whose ashes should be included. For designs with separate settings, specify the placement and resin colour for each loved one on the Order Confirmation Form or by email to our trade team.
If you need guidance on preparing or labelling separate sets of ashes, please contact us before sending them. We can help you make the family’s instructions clear.

More than one item of jewellery
When a family orders several pieces, each item is individually hand-wrapped and placed in its own gift bag, with a tag identifying the piece inside.
This helps your team identify each piece when preparing the order for the family, while keeping any gifts beautifully wrapped and ready to hand over.
